AGREEMENT
Between: Accommodation Provider (“AP”)
And
Vancouver ESL Homestay Inc (“VHS”)
It is acknowledged and agreed that the AP may offer one or more of the following lodging options:
The applicable provisions are found under the corresponding headings.
HOMESTAY
1) Unless otherwise specifically agreed in writing, Homestay includes:
ü All or some meals according to your AP profile
ü Student/guest is invited to participate in all family activities
ü Private bedroom (unless otherwise agreed to) containing a bed, closet, dresser,
desk or table with a lamp or adequate lighting and a chair for studying
ü Bedding and towels
ü Access to common areas of the home
ü Use of television and telephone (local calls only)
ü Access to the family computer or wireless internet (via the student/guest’s own laptop)
ü Laundry or laundry supplies and access to laundry facilities
2) A Criminal Record Search is mandatory to host a student/guest under the age of 18.
3) Only students/guests that speak a different language then the students/guests already living in the home can be accepted (unless otherwise agreed).
4) Homestay students/guests under the age of 18 can not be accepted during a vacation or family absence. If you must be away for a short time, arrangements must be made with a friend or relative to take care of your student/guest.
5) AP has to hold valid insurance, including third party liability, and inform their insurance company that there will be an additional resident.
6) AP is not responsible for insurance covering sickness, accident, personal liability and personal belongings of the student/guest.
7) Refund Policies
a) Immigration Issues: If Canadian Immigration and Citizenship does not provide authorization for a student/guest to enter Canada, or authorization is not received before the start of the school program, the student/guest will receive a full refund of the Homestay Fee paid. The student/guest has to provide VHS with written proof of immigration issues.
b) Voluntary Withdrawal with Notice: If a student/guest cancels the reservation in writing to VHS 30 days or more before the scheduled arrival date, the Homestay Fee will be refunded by VHS.
c) Voluntary Withdrawal without Notice: If a student/guest cancels his/her reservation before the scheduled arrival date, but less than 30 days prior to the scheduled arrival date, only 50 % of the prepaid Homestay Fee will be refunded by VHS.
d) Dismissal from Homestay: If a student/guest is dismissed by the Homestay Provider (he/she has violated Canadian law) after arrival with less than 30 days notice, the amount calculated on a strict pro-rata basis for the used portion to the date of cancellation shall be deducted before any Homestay Fees are refunded by the Homestay Provider.
e) Irreconcilable Differences: There will be no refund if less than 30 days notice is given. Once the student/guest has arrived, 30 days notice to the Homestay Provider is required to change.
f) A 30 days notice to the student/guest is required should the Homestay Provider wish to terminate the homestay placement. The Homestay Provider agrees to return all post dated cheques to the original payment source.
8) VHS is not responsible for
SHARED ACCOMMODATION
1) Unless otherwise specifically agreed in writing, Shared Accommodation includes:
ü Private bedroom (unless otherwise agreed to) containing a bed, closet, dresser,
desk or table with a lamp or adequate lighting and a chair for studying
ü Bedding and towels
ü Shared use of the bathroom
ü Use of kitchen and appliances for meal preparation
ü Cutlery, utensils, pots, etc.
ü Use of television and telephone (local calls only)
ü Access to a computer or wireless internet (the student/guest’s own laptop)
ü Access to laundry facilities
2) Not Included:
ü Food and other consumables such as tissues, dish detergent, etc.
ü Personal toiletries
ü Laundry supplies
3) A Criminal Record Search is optional.

6) 3 copies of the Lodging Agreement have to be signed at the student/guest’s arrival. One copy is for the student/guest, one copy is for the Accommodation Provider, and one copy has to be mailed to VHS. This is for everybody’s protection and avoids misunderstandings.

8) VHS is not responsible for
INDEPENDENT ACCOMMODATION
1) Unless otherwise specifically agreed in writing, Independent Accommodation
ü Is fully furnished
ü Has a separate entrance
ü Has a fully operational kitchen with dishes, pots and cutlery
ü Is stocked with adequate bedding and towels
2) 3 copies of the Lodging Agreement have to be signed at the student/guest’s arrival. One copy is for the student/guest, one copy is for the Accommodation Provider, and one copy has to be mailed to VHS. This is for everybody’s protection and avoids misunderstandings.

4) VHS is not responsible for
GENERAL – APPLIES TO ALL ACCOMMODATIONS AND PROVIDERS
Updating your profile
AP agrees to keep availability up to date. This is of utmost importance to avoid unnecessary requests from visitors to the site. Any changes to the accommodation (such as a renovation) should be reflected in your profile as soon as possible. The profile, including all pictures, must honestly and accurately reflect the accommodation offered. Failure to do so will result in deactivation.
Profile Review
If problems arise, a review of AP’s profile will take place.
Right to terminate
AP may terminate their listing at any time by contacting VHS.
Payment details and service charges
At the time of booking (to reserve the accommodation), the student/guest will deposit the first month Accommodation Fee as well as the Damage Deposit (in the case of Shared Accommodation and Independent Accommodation) to VHS. 5 business days after receiving notice that your student/guest has arrived, a cheque will be mailed to you or a direct deposit to your account will be made in an amount equal to:

After the first month the student/guest pays the Accommodation Provider directly. Payment date is the same day of the month the student/guest arrived.
